Responsibilities :

  • Plan, Deploy and Maintain office facilities Communication equipment, building, electricity, office security, printers, Fax machines, Servers, all other interiors etc.,
  • Gather the requirements from staff for the facilities requirements and propose the actions for implementation and implement after getting the approval from the concerned.
  • Ensure excellent working conditions for all the staff and bring-out the gaps as and when they arise.
  • Establish good house-keeping through maintenance staff.
  • Support to prepare office administrative budget, to monitor and control the budget
  • Recruit and select office maintenance staff as need arises.
  • Capture and initiate actions for all statutory compliances related to office establishments, licenses etc.,& maintain 100% compliances.
  • Ensure filing systems are maintained and current
  • Establish procedures for record keeping and monitor record keeping
  • Arrange travel booking (Tickets and Accommodation) on the basis of approved request from staff
  • Facilitate and coordinate for VISA for overseas business trips.
  • Support to HR Manager / Officer on recruitment/ training/ Payroll activities
  • Administrative support for all the official events conducted inside and outside the office (Seminars/Training/Exhibition/workshop/all staff meeting etc)
  • Monitoring and distributing the correspondences in and out from the organisation.
  • Monitoring the incoming and outgoing phone call of the organization and control where appropriate.
  • Attend the company OH&S Committee meetings
  • Contribute to the facilities maintenance management within the office in accordance with QOH&S requirements
  • Implementation and monitoring of continuous improvement action plans
  • Support and develop and Implementation of ISO 27001 requirements
