Job Description

The Admin Manager is responsible for overseeing the smooth and efficient administrative operations of the hospital. The role involves managing the day-to-day activities of hospital administration, ensuring compliance with healthcare regulations, maintaining optimal hospital operations, and providing excellent support to staff and patients.

Key Responsibilities:



1.

Administrative Operations:



Oversee the overall administration of the hospital, ensuring smooth coordination between departments. Supervise and manage administrative staff, including receptionists, clerks, and other support personnel. Develop and implement hospital policies, procedures, and protocols to ensure effective service delivery. Ensure compliance with government regulations, healthcare standards, and hospital policies.

Staff Management



Organize and lead regular staff meetings to ensure clear communication across departments. Resolve conflicts and provide support to staff members as necessary.
3.

Budgeting and Financial Management:



Assist in the preparation and management of the hospital's annual budget. Monitor and manage costs within the administration department and optimize resource allocation. Ensure that the hospital's financial operations comply with relevant accounting and tax regulations.

Patient Services and Relations:



Improve patient satisfaction through efficient administration and addressing complaints. Supervise the handling of patient queries, admissions, and discharge processes. Ensure that the hospital's customer service meets the highest standards of care and hospitality.

Facility and Equipment Management:



Oversee maintenance of hospital infrastructure, ensuring cleanliness and safety standards. Ensure timely procurement and maintenance of hospital equipment and supplies. Supervise the management of hospital utilities, including electricity, water, and waste disposal.

Compliance and Reporting:



Ensure adherence to legal and regulatory requirements, including healthcare regulations, health and safety guidelines, and certificates (e.g., NABH, ISO 9001:2015). Prepare and submit regular administrative reports to hospital leadership on operational performance. Ensure that all hospital policies and procedures are aligned with the latest laws, including the

Clinical Establishments Act

and

Biomedical Waste Management Rules

o Interact with external authorities for audits, inspections, and certifications.

7.

Technology Management:



Oversee the administration of hospital management software and ensure data accuracy. Collaborate with IT departments to implement new technological solutions that improve operational efficiency.

Skills and Qualifications:



Education:

A bachelor's degree in Healthcare Administration, Business Administration, or related field (Master's degree preferred).

Experience:



Minimum 8-10 years of experience in administrative management, preferably in a healthcare / Hospital setting.

Knowledge:



Strong knowledge of hospital management, healthcare regulations, and administrative processes. Familiarity with healthcare technologies and management systems. Understanding of financial management, budgeting, and resource allocation.

Skills:



Excellent organizational and leadership skills. Strong communication skills, both verbal and written. Problem-solving skills and the ability to handle stressful situations.
