Job Description


Administration Operations
\xef\x82\xb7 Supervising day to day operations of the administrative department and staff members.
\xef\x82\xb7 Developing, reviewing and improving administrative systems, policies and procedures.
\xef\x82\xb7 Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained.

Security/Facility/Housekeeping Management
\xef\x82\xb7 Supervising teams of staff including cleaning, maintenance and security.
\xef\x82\xb7 Responsible for ensuring facilities management, including utility operation and maintenance are appropriate in the campus.
\xef\x82\xb7 Supervising the recruitment process of Facility and Supporting Staff.
\xef\x82\xb7 Ensuring that facilities meet government regulations and environmental, health and security standards.
\xef\x82\xb7 Ensures safety and security of students and follows all applicable policies relating to the protection of children and students.
\xef\x82\xb7 Manages all contractual and related arrangements with regards to building works, maintenance and supplies, cleaning, grounds maintenance, etc., including quality
control of contractors\' work.
\xef\x82\xb7 Responsible for disaster preparation program: fire drills, student, staff and public safety, student health and maintains a current site evacuation plan.
\xef\x82\xb7 Administers and supervises the maintenance of the physical facilities.
\xef\x82\xb7 Ensure compliance with health and safety standards.
\xef\x82\xb7 Supervises after school student activities and programs, assemblies, activities, etc. for the purpose of maintaining a safe and orderly environment.

Vendor Management
\xef\x82\xb7 Identify vendors, obtain quotations, analyze and compare quotations, negotiate and shortlist appropriate vendors, finalize terms & conditions, contact with intra \xe2\x80\x93
department for preparation of the agreement, coordinate the formal signing of the order with the selected vendor, coordinate for processing of bills pertaining to the Admin department, monitor service staff work during the course of the execution to
ensure delivery of the best services.

\xef\x82\xb7 Coordinating with the vendors for the negotiations and quality checks of the products procured for the office.
\xef\x82\xb7 Negotiate and finalize AMCs.

Budgeting and Expense Reporting
\xef\x82\xb7 Maintaining School Budget.
\xef\x82\xb7 Advises the head of institution on all financial matters and reports on the financial feasibility of particular projects.
\xef\x82\xb7 Coordinates the purchasing of goods and services ensuring that accurate stock and

Inventory control systems are maintained.
\xef\x82\xb7 Check\xe2\x80\x99s deliveries of all goods. Maintains an inventory of school assets and ensures their security.

Statutory Compliance
\xef\x82\xb7 Liaison with Govt., Semi-Govt. department and District Administration.
\xef\x82\xb7 Maintain close liaison with local authorities pertaining l to the school\xe2\x80\x99s operations.

Admissions
\xef\x82\xb7 Function as a Single Point of Contact for securing new admissions and managing the entire process.
\xef\x82\xb7 Identify and streamline the admission process in coordination with school management.
\xef\x82\xb7 Interface with parents for providing information and assisting them in admissions and fee payments.
\xef\x82\xb7 Handle and resolve queries related to the admissions process.

Transport Management
\xef\x82\xb7 Develope & Establish Policy & SOP for Independent Transport Management
\xef\x82\xb7 Planning, costing, and allocating routes and vehicles ensuring sufficient flexibility is in place to meet the varying and changing needs.
\xef\x82\xb7 Ensure that all inhouse & hired vehicles are compliant with legal, regulatory
\xef\x82\xb7 and contractual requirements.
\xef\x82\xb7 Develop and implement a proactive, planned and structured approach to the maintenance of fleet.
\xef\x82\xb7 Vehicles, keeping within the designated budget and ensuring all vehicles used are fit for purpose and the experience is of high standard.
\xef\x82\xb7 Conduct safety audit of transportation services including driving discipline.

Canteen Management
\xef\x82\xb7 Develop & Establish SOP for Cafeteria Operations in the institution.

\xef\x82\xb7 Planning, organising, and monitoring the day-to- day operations of the canteen, including opening and closing the canteen, preparation and cooking for service.
\xef\x82\xb7 Developing, implementing and managing procedures to deliver the food services.
\xef\x82\xb7 Ensuring that best hygiene and food safety is maintained in the cafeteria.
\xef\x82\xb7 Conduct regular audit of cafteria, review & implement suggestions for improvement.

Event Management
\xef\x82\xb7 Manages all school special events and field trips.
\xef\x82\xb7 Coordinate\xe2\x80\x99s transportation of students to and from school, field trips, and special activities
\xef\x82\xb7 Plans and provides schedules for recess, lunch, assemblies, special activities, and bells.
\xef\x82\xb7 Plans, manages and supervises extra-curricular programs.
\xef\x82\xb7 Plans for and provides orientation, transition, and school program information to students, parents, and staff.

Parent queries\xe2\x80\x94Existing & New
\xef\x82\xb7 Facilitates communication between staff, students and/or parents for the purpose of evaluating situations, solving problems and/or resolving conflicts.
