Position Overview
The Admin Manager will oversee the company's day-to-day administrative functions across the Head Office and Factory. The role combines office administration, facility management, compliance coordination, vendor control, and basic HR operations such as attendance, payroll coordination, recruitment support, and employee welfare.
Key Responsibilities
A. General Administration
Manage daily office administration for both Dadar Head Office and Vasai Factory.
Supervise housekeeping, security, and office maintenance services.
Ensure smooth functioning of utilities - electricity, telephone, internet, and transportation.
Maintain AMC contracts for office equipment, CCTV, computers, and other infrastructure.
Handle office lease agreements, property tax, and related documentation.
Coordinate travel, logistics, and accommodation for staff and management.
Oversee company vehicles, driver schedules, fuel consumption, and maintenance logs.
Manage office supplies, stationery, and pantry procurement efficiently.
B. Factory & Facility Administration
Liaise with factory administration for upkeep, cleanliness, and statutory compliance (Pollution Control, Fire, Safety, etc.).
Support coordination between head office and factory for materials, manpower, and operational updates.
Monitor contract labour attendance, gate entries, and visitor management systems.
Ensure implementation of health, safety, and environment (HSE) practices at factory premises.
C. HR Operations (Basic Functions)
Maintain employee attendance, leave records, and biometric data.
Coordinate with accounts for monthly payroll inputs and reimbursements.
Assist in recruitment coordination, scheduling interviews, and onboarding formalities.
Maintain employee personal files, ID cards, and documentation as per statutory norms.
Handle HR letters - appointment, confirmation, resignation, and relieving.
Support employee engagement, welfare, and communication initiatives.
Coordinate statutory compliances like PF, ESIC, Professional Tax, Gratuity, etc. with consultants.
D. Compliance & Liaison
Liaise with local authorities, government departments, and vendors for licenses and renewals.
Ensure compliance with Factory Act, Shops & Establishment Act, and labour laws.
Maintain records for audits, inspections, and certifications.
E. Budgeting & Cost Control
Prepare and monitor annual budgets for administration and facility expenses.
Negotiate with vendors and service providers to ensure cost-effectiveness.
Track and control administrative expenses through regular MIS reporting.
