Admin manager having 5 to 10 years exp in immigration or visa Consultancy Looking for a Candidate who can manage the Admin work Such as :- Responsibilities:-
  • Office Administration: Oversee and manage the day-to-day operations of the office, including facilities management, equipment maintenance, and supplies procurement. Ensure smooth functioning of administrative processes to support the organization\'s operations.
  • Team Management: Supervise and coordinate the activities of administrative staff, including receptionists, clerical staff, and office assistants. Provide guidance, training, and support to ensure optimal performance and productivity within the administrative team.
  • Budget Management: Develop and manage the administrative budget, including allocating resources, monitoring expenses, and identifying cost-saving opportunities. Ensure that administrative operations are conducted within budgetary constraints and in accordance with financial policies.
  • Policy Development and Implementation: Develop and implement administrative policies, procedures, and guidelines to standardize processes and promote efficiency. Ensure compliance with organizational policies, as well as relevant legal and regulatory requirements.
  • Record Keeping and Documentation: Maintain accurate and up-to-date records, files, and documentation related to administrative activities, such as personnel records, contracts, and correspondence. Establish and enforce document management protocols to ensure data security and confidentiality.
  • Communication and Coordination: Serve as a central point of contact for internal and external communications, including phone calls, emails, and correspondence. Coordinate meetings, appointments, and travel arrangements for senior management and staff members.
  • Facilities Management: Oversee the maintenance and upkeep of office facilities, including workspace layout, furniture arrangement, and cleanliness. Coordinate with external vendors and service providers to address maintenance issues and facility-related needs.
  • Risk Management: Identify potential risks and vulnerabilities related to administrative operations, such as security breaches, data loss, or safety hazards. Develop and implement risk mitigation strategies to minimize exposure and protect organizational assets.
  • Project Management: Manage special projects and initiatives as assigned by senior management, such as office relocations, equipment upgrades, or process improvements. Coordinate project teams, establish timelines, and monitor progress to ensure successful completion.
  • Stakeholder Relations: Build and maintain positive relationships with internal stakeholders, including employees, managers, and executives. Liaise with external stakeholders, such as clients, vendors, and regulatory agencies, to address administrative issues and support organizational objectives.
