to oversee and streamline administrative operations across our Group of Companies. The individual will be responsible for ensuring smooth day-to-day facility operations, vendor management, compliance, workplace experience, and general administrative functions across multiple office locations.
The ideal candidate is organized, resourceful, effective at stakeholder management, and able to anticipate organizational needs in advance.
Key Responsibilities
Administrative Operations
Oversee end-to-end administrative functions across multiple units/companies.
Manage office facilities, infrastructure, housekeeping, pantry services, and security arrangements.
Ensure availability and maintenance of office supplies, equipment, and assets.
Monitor upkeep, repairs, and AMC renewals for facilities and equipment.
Vendor & Procurement Management
Identify, evaluate, and negotiate with vendors for admin services and supplies.
Drive cost-effective procurement without compromising quality.
Maintain vendor database, performance reviews, and timely payments.
Travel & Logistics
Oversee domestic and international travel arrangements--tickets, hotels, itineraries, etc.
Manage logistics for corporate events, meetings, and training sessions.
Compliance & Documentation
Ensure compliance with statutory, environmental, and safety guidelines.
Maintain proper records, documentation, and contracts for admin functions.
Manage insurance renewals, lease agreements, and compliance timelines.
Budgeting & Cost Control
Prepare and manage admin budgets for respective entities.
Track and optimize spending to align with financial objectives.
Workplace Management
Manage seating plans, workspace allocation, and office layout.
Support onboarding/offboarding from administrative standpoint (ID cards, assets, etc.).
Implement initiatives to enhance workplace comfort & productivity.
Team Management
Lead and supervise admin and support staff across locations.
Monitor performance and ensure training & development where required.
Health, Safety & Security
Implement and oversee safety protocols, access control, and emergency response systems.
Coordinate with security personnel to maintain a safe and orderly work environment.
Skills & Requirements
Bachelor's degree; MBA/PG preferred.
6-12 years of administrative experience, with multi-location or group-company management experience preferred.
Strong vendor management and negotiation skills.
Good knowledge of statutory & compliance requirements related to admin.
Excellent communication, problem-solving, and coordination skills.
Ability to manage multiple priorities and deliver under timelines.
Proficient in MS Office and relevant admin management tools.
