  • Administrative Experience
  • Experience in hospital, clinic, or rehabilitation centre administration preferred.
  • OPD Case Scheduling & Appointment Management
  • Plan and manage OPD schedules for therapists.
  • Fix, reschedule, and track beneficiary appointments efficiently.
  • Maintain daily OPD and appointment registers to ensure smooth patient flow.
  • Knowledge of hospital management systems is preferred.
  • Finance & Billing Management
  • Coordinate preparation, verification, and timely submission of bills.
  • Track and manage OPD payments, pending bills, and vendor invoices. And donor funds utilization tracker for RoW as well as Rehab
  • Maintain basic financial records related to OPD services and rehabilitation programmes.
  • Ability to use the tally for payment vouchers uplaods
  • Reporting Skills
  • Prepare daily reports on OPD attendance, appointments, and service delivery.
  • Prepare weekly reports on caseload, therapy sessions, and pending activities.
  • Prepare monthly reports on beneficiaries served, programme performance, revenue, and expenses.
  • Intermediate to advanced excel skills
  • Presentation & Review Preparation
  • Compile data and prepare documents for monthly review meetings and presentations.
  • Support department leadership with performance analysis and review documentation.
  • Who is having good skills & knowledge on MS - Office (Word, Excel & Power point)
  • Documentation & Records Maintenance
  • Ensure proper storage of registration forms, assessments, therapy notes, and follow-up details.
  • Update digital systems and registers regularly and ensure data accuracy and confidentiality.
  • Networking & Collaborations
  • Build and maintain strong relationships with partner NGOs, hospitals, schools, community workers, and referral agencies.
  • Coordinate with external stakeholders for referrals, follow-ups, camps, and joint activities.
  • Support development of new partnerships to improve outreach, service coverage, and beneficiary access.
  • Facilitate smooth coordination between internal teams and external partners for programme implementation.
Key Roles & Responsibilities
  • Oversee daily administrative operations of the Rehabilitation Department.
  • Manage OPD registration, appointments, and beneficiary flow efficiently.
  • Ensure timely preparation and submission of bills and financial documents.
  • Monitor timelines for reports, bills, and documentation and ensure compliance.
  • Maintain accurate and confidential records of beneficiaries and services.
  • Coordinate closely with doctors, therapists, programme teams, and finance.
  • Act as the primary point of contact for internal coordination and external partners.
  • Strengthen networking and collaboration with partner organisations and referral sources.
  • Support outreach activities, camps, and joint programmes in coordination with partners.
  • Identify operational gaps and recommend improvements for better efficiency and service quality.
