The Admin / Facilities Executive will be responsible for the smooth day-to-day administration and facilities management of the Kolkata office. This role ensures that office premises, utilities, vendor coordination, and administrative processes operate efficiently while maintaining brand standards. The position also provides front-office support, manages documentation, supports cross-functional teams, and ensures compliance with licenses and registrations, contributing to a well-organized and productive workplace.
Key Responsibilities
Ensure the office premises are well-maintained, organized, and operational at all times
Provide comprehensive administrative, secretarial, and operational support to staff across departments.
Manage front-office responsibilities, including handling the main telephone line, responding to queries, routing calls, and taking messages.
Coordinate the receipt and dispatch of national and international mail and courier packages.
Manage monthly utility bills for all sites and ensure timely invoice processing and submission.
Maintain cleanliness and orderliness of the office, pantry, and meeting rooms, ensuring adherence to clean desk policies at all times.
Support cross-functional ad-hoc projects for Finance, Facilities Management, HR, Communications, and IT teams.
Escalate matters requiring senior management approval promptly and effectively through the appropriate reporting lines.
Coordinate ordering, distribution, and allocation of sales uniforms and related resources.
Manage business license renewals, statutory registrations, and related compliance documentation.
Perform additional administrative and operational duties as assigned by line management.
Requirements & Qualifications
2 - 3 years of relevant experience in facilities administration, workplace management, or a similar role.
Strong understanding of internal workflows, administrative processes, procurement procedures, and purchase order management.
Self-motivated and capable of working independently with minimal supervision.
Excellent verbal and written communication skills.
Proven ability to build and maintain effective working relationships across multiple business units and stakeholders.
