Job Summary:
We are seeking a proactive and highly organized Executive Assistant with a minimum of 2 years of experience to support our executive leadership team. The ideal candidate will have excellent time management, communication, and problem-solving skills, and will be comfortable handling a variety of administrative tasks in a fast-paced environment. This role requires attention to detail, the ability to multitask, and discretion when dealing with sensitive information.
Key Responsibilities:
Calendar Management: Coordinate and manage the executive's schedule, including scheduling meetings, appointments, and travel arrangements.
Communication: Serve as the primary point of contact between the executive and internal/external stakeholders, handling communications with professionalism.
Meeting Coordination: Prepare agendas, document minutes, and follow up on action items for meetings.
Travel Arrangements: Organize and coordinate travel itineraries, accommodations, and related logistics.
Document Management: Prepare, organize, and maintain files, records, reports, and correspondence as needed.
Project Assistance: Support the executive team in organizing projects, conducting research, and preparing presentations.
Expense Reporting: Track, reconcile, and report expenses, ensuring timely submission and processing.
Event Planning: Assist with the planning and execution of company events, meetings, and conferences.
Qualifications:
Bachelor's degree in Business Administration, Management, or a related field preferred.
Minimum of 2 years of experience as an Executive Assistant or in a similar administrative role.
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
Strong verbal and written communication skills.
Excellent organizational and time-management skills, with strong attention to detail.
Ability to handle confidential information with discretion and professionalism.
Self-motivated, with the ability to work independently and as part of a team.
Preferred Skills:
Experience with project management software or tools.
Familiarity with cloud-based tools like Google Workspace.
Knowledge of basic accounting and expense management practices.
