Job Summary



The

Admin Executive

is responsible for ensuring smooth day-to-day administrative operations within the organization. This role involves managing office activities, coordinating with different departments, maintaining records, handling communication, and supporting management in operational tasks. The Admin Executive ensures that all administrative processes are efficient, timely, and aligned with company policies. The position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

Key Responsibilities



1. Office & Facility Management



Managing housekeeping, security, pantry, gardening staff.

Ensuring cleanliness of production floor, admin areas & common spaces.

Facility maintenance: electricity, plumbing, furniture, AC, CCTV, power backup.

Ensuring availability of drinking water, stationery, washroom supplies.

2. Documentation & Record Management

Maintaining employee files, visitor records, and gate pass registers.

Maintaining ISO/IMS documents (SOPs, formats, policies).

Maintaining legal & statutory documents and registers.

3.Procurement & Inventory (Admin Related)

Purchasing office supplies, stationery, cleaning material, etc.

Inventory tracking, minimum stock level monitoring.

4.HR & Compliance Support

Assisting in recruitment coordination (interviews, post joining formalities).

Attendance & leave management (biometric, muster roll).

Assisting with payroll inputs (absent, late, overtime, shift).

Maintaining compliance records (ESI/PF support).

Coordination with departments for monthly training schedules.

5.Travel & Logistics Coordination

Arranging vehicle/car/traveller/bus for employees for business visits or tour.

Booking tickets, hotels, and travel itineraries.

Maintaining vehicle logbook, fuel records, maintenance schedule.

6. Communication & Coordination

Drafting emails, circulars, notices, memos.

Coordinating with other departments for admin needs.

7. Security & Gate Management

Monitoring gate entries: visitor passes, vehicle entries, material movement.

Maintaining inward/outward material register.

Ensuring adherence to security protocols & CCTV monitoring.

8. Event & Meeting Support

Arranging meeting rooms, projectors, tea/coffee/snacks.

Coordinating internal events (trainings, celebrations, audits, sports meet).

Preparing presentations / minutes of meeting (if required).

Key Qualifications



Education:

Bachelor's degree in any stream.

Experience

: 2-3 years of relevant experience in admin work.
