We are seeking a detail-oriented and proactive Admin Executive to manage day-to-day administrative operations, support staff welfare, ensure smooth functioning of office facilities, and coordinate with multiple teams including Accounts, SCM/Projects, and HR. The role requires excellent organizational and coordination skills, with the ability to handle vendors, procurement, compliance, and employee support activities.
Key Responsibilities
Administrative & Office Management
? Oversee day-to-day office administration and ensure smooth operations.
? Manage attendance systems including biometric download and reporting.
? Supervise housekeeping activities to maintain cleanliness and hygiene standards.
? Ensure staff welfare facilities such as drinking water, travel bookings, and hotel arrangements.
? Handle procurement and stock management of office stationery, consumables, printer toners, and related supplies.
? Maintain rate contracts with vendors and oversee vendor coordination for housekeeping, printing, stationery, and consumables.
? Ensure Wi-Fi and internet facilities (Hathway/RP) are functional and issues resolved in time.
? Safe custody and handling of CEO's digital signature USB (with Finance/Admin as per policy).
Fixed Assets & IT Support
? Manage procurement, approval, and maintenance of fixed assets such as laptops, desktops, UPS, and batteries.
? Oversee laptop battery replacements, repairs, and refurbishment of old laptops at minimum cost.
? Maintain an updated list of fixed assets issued to employees.
? Coordinate with vendors for printer servicing and IT-related support.
Employee Support
? Set up and manage official email IDs for new employees.
? Handle Zoho email subscription renewals and vendor payments.
? Manage PF/ESI compliance and liaison with EPFO officials.
? Track and follow up on open PF withdrawal/transfer claims of ex-employees.
Finance & Petty Cash Support
? Manage petty cash disbursement and coordinate top-up with Accounts team.
? Support Accounts in processing vendor bills and reimbursements.
? Assist in debit card top-up processes.
SCM/Projects/Deployment Support
? Coordinate logistics activities for project deployments.
? Manage Corporate Porter app - including top-up processes, admin rights, and balance monitoring.
Travel & Courier Management
? Handle travel bookings (railway/bus/air/hotel) for employees in line with company travel policy.
? Prepare travel cost estimates, seek approvals, and follow up with management.
? Manage courier services and ensure timely dispatch and receipt of documents and parcels.
Requirements
? Graduate in any discipline (preferably in Business Administration or related field).
? 1-2 years of experience in Office Administration/General Administration roles.
? Knowledge of procurement processes, vendor management, and compliance (PF/ESI).
? Proficiency in MS Office and basic IT troubleshooting.
? Strong organizational, multitasking, and coordination skills.
? Ability to liaise effectively with internal teams and external vendors.
? Good communication and interpersonal skills.
