Role Overview
We are looking for a responsible and well-organized Admin Executive to manage end-to-end office administration, facility operations, vendor coordination, and compliance-related activities. The role also includes handling all internal and external event-related preparations such as exhibitions, including procurement, logistics, decoration items, and material management.
Key Responsibilities
Office & Facility Administration
Manage day-to-day office administration and ensure smooth functioning of the workplace.
Coordinate facility management activities including electricals, plumbing, internet, security, and office equipment.
Oversee maintenance of office assets such as air conditioners, generators, and other utilities.
Ensure timely renewal and tracking of AMCs for ACs, fire safety equipment, and other facilities.
Coordinate fire safety compliance including fire extinguisher refilling, inspection records, and statutory renewals.
Vendor Management & Procurement
Identify, coordinate, and manage vendors for office supplies, maintenance services, housekeeping, and other admin requirements.
Handle quotations, purchase requisitions, PO coordination, and follow-ups for timely procurement.
Ensure cost control and maintain proper documentation for all admin-related purchases.
Housekeeping & Support Staff Management
Supervise housekeeping staff and security personnel to ensure cleanliness, hygiene, and discipline across office premises.
Define work schedules, allocate tasks, and monitor daily performance.
Address and resolve housekeeping or facility-related issues promptly.
Travel & General Coordination
Arrange travel, accommodation, and local transport for employees and visiting personnel.
Support internal departments with administrative and logistical requirements.
Maintain admin trackers, records, and documentation.
Exhibition & Event Support (Administrative Scope)
Handle complete administrative preparation for exhibitions, and company events.
Manage exhibition logistics including branding materials and promotional gifts.
Coordinate with vendors for printing, fabrication, giveaways, courier dispatches, and material movement.
Ensure timely purchase and availability of all event-related items.
Maintain records of exhibition materials, gift inventories, and post-event documentation.
Candidate Profile
2+ years of experience in office administration, facilities management, or coordination roles.
Strong organizational skills with attention to detail and follow-through.
Ability to manage multiple vendors and priorities independently.
Proficient in Microsoft Excel; familiarity with ERP or accounting systems is an advantage.
