Role: Admin Executive
Job Location: Marine Drive, occasionally Kanjurmarg
Head Office: Marine Drive, South Mumbai
Operational Office: Kanjurmarg, Central Mumbai
Role Overview:
We are looking for a smart, polished, and proactive Admin Executive to manage daily operations and
maintain a luxury environment at our Experience Centre. The role involves coordinating with internal
teams, vendors, and clients to ensure a exceptional experience while upholding the highest standards
of aesthetics and brand representation.
Key Responsibilities:

  • Property & Vendor Coordination: Coordinate with the property manager and vendors
for building requirements, maintenance, and compliance.
  • Housekeeping & Facility Management: Oversee housekeeping staff, pantry, and office
facilities to ensure a clean, organized, and premium environment.
  • Studio Experience & Design Space Maintenance: Monitor AC functioning, automated
lights and curtains, music systems, TVs, lighting, diffusers, fragrances, and upkeep of all
high-end decor elements to ensure a premium client experience.
  • Luxury Environment Maintenance: Maintain a luxury environment at the Experience
Centre, ensuring it reflects the brand's high standards. Manage workplace ambience --
decor, plants, pantry, housekeeping, and overall environment.
  • Inventory & Material Management: Maintain essential inventories, emergency supplies,
office materials, and marketing collaterals. Ensure timely replenishment and organised
storage.
  • Client Hospitality & Meeting Support: Manage premium refreshments and provide
backend support during all HNI/UHNI client meetings in coordination with the Client
Relations team.
  • Petty Cash & Finance Coordination: Handle petty cash, maintain records, and work
closely with the Finance Department for vendor payments, documentation, and monthly
reporting.
  • AMC & Maintenance Management: Oversee all AMC services for office equipment, HVAC,
and other facilities. Ensure timely renewals and service follow-ups.
  • Vendor & Delivery Account Management: Manage Uber/Porter/Amazon other accounts,
deliveries, and related billing efficiently.
  • Office Events & Coordination: Support HR and leadership in planning events,
celebrations, and office initiatives within budgets. Ensure smooth execution of logistics and
requirements.
  • Marketing Collaterals & Printing Support: Coordinate printing and stock management
of branded materials such as letterheads, DF bags, DF folders, and other marketing assets.
  • Birthdays & Employee Engagement: Manage birthday celebrations, team engagement
activities, and small office events.
Who Qualifies?
Education
  • Bachelor's or Master's degree in a relevant field.
Experience
  • 4-5+ years of experience in administration, facility management, or operations,
preferably in a premium or luxury environment.
Skills & Attributes
  • Good verbal and written communication skills.
  • Smart and professional demeanor suitable for a high-end design environment
  • Strong communication, coordination, and multitasking skills
  • Attention to detail with a strong sense of aesthetics
  • Ability to manage daily operations independently and maintain premium client
experience
  • Proficiency in MS Office and record management
Work Timings:
  • Monday to Friday: 9:30 AM - 6:30 PM
  • Saturday: 9:30 AM - 3:30 PM (Half Day)
