Job Description

Role Overview
Finxpert is seeking a proactive and energetic Admin Executive to manage day-to-day campus operations, visitor coordination, student interactions, and overall administrative support. The ideal candidate must be fluent in communication, well-presented, approachable, and naturally cheerful, as she will be the first point of contact for students, faculty, guests, and partners at the campus.
Key Responsibilities
1. Front-Desk & Visitor Coordination
Warmly greet and assist students, parents, guests, and external visitors.
Handle walk-in enquiries and guide visitors to appropriate departments or personnel.
Maintain a professional and pleasant atmosphere at the campus entry and common areas.
Manage visitor entries, badges, registers, and security coordination.
2. Administrative Support & Office Management
Oversee daily administrative operations to ensure smooth functioning of the campus.
Maintain student and staff attendance records, ID issuance, and documentation.
Coordinate meeting schedules, faculty appointments, and training room bookings.
Manage inventory of office supplies, stationery, housekeeping materials, etc.
Ensure cleanliness, safety, and upkeep of the campus premises in coordination with housekeeping and facility teams.
Handle courier, mail, dispatch, and vendor communication.
3. Communication & Coordination
Maintain effective communication with students, faculty, and internal teams.
Answer phone calls, emails, and walk-in queries with clarity and professionalism.
Support internal communications: announcements, event coordination, notices, and circulars.
Assist in organizing campus events, seminars, and training activities.
4. Student Interaction & Support
Act as the first touchpoint for student queries and campus assistance.
Provide guidance on class schedules, processes, documentation requirements, etc.
Support enrolment processes, document collection, and data management.
5. Compliance, Reporting & Documentation
Maintain records such as attendance sheets, visitor logs, asset logs, and filing systems.
Generate daily/weekly reports on admin functions and share with management.
Assist with basic HR & Operations documentation whenever required.
Requirements
Required Skills & Attributes
Excellent verbal and written communication skills (English + regional language).
Pleasant, cheerful, and professional personality; must be jovial and approachable.
Highly presentable, with strong grooming and interpersonal etiquette.
Strong multitasking and organizational abilities.
Proficient in MS Office (Word, Excel, Outlook) and basic digital tools.
Ability to maintain confidentiality and handle sensitive information.
Positive attitude, quick learner, and problem-solving mindset.
Eligibility & Qualifications
Graduate in any discipline.
1-4 years of experience in administration, front-office support, or customer-facing roles.
Experience in an educational institution or training center is an added advantage.
