Job Summary



We are seeking a highly organized and proactive

Admin Executive

to manage day-to-day office operations, coordinate logistical needs for production/dispatch, and support the sales and procurement teams. The ideal candidate will be responsible for maintaining inventory records of ACP materials, managing vendor relations, ensuring facility maintenance, and handling administrative documentation to ensure a seamless workflow.

Key Responsibilities



Office & Facility Management:

Oversee daily office operations, including cleanliness, security, pantry supplies, and facility maintenance.

Logistics & Dispatch Support:

Coordinate with the factory and warehouse for dispatch, manage transport bookings, and maintain records of raw materials (Alu. Coils, LDPE) and finished ACP sheets.

Documentation & Reporting:

Maintain accurate records of sales invoices, purchase orders (POs), vendor agreements, and client documentation.

Vendor Communication:

Liaise with vendors for supplies, logistics providers, and CHA (Custom House Agents) for import/export documentation.

Inventory Control:

Monitor inventory levels of office stationery and, if necessary, assist in monitoring stock levels of ACP products.

HR & Attendance Support:

Record staff attendance, manage the attendance register, and assist in onboarding/offboarding processes.

Meetings & Travel:

Schedule meetings, manage travel bookings, and arrange accommodation for staff and visitors.

Petty Cash Management:

Monitor petty cash, process invoices, and prepare daily/monthly expense reports.

Required Skills and Qualifications



Experience:

2-5 years of experience in office administration, preferably within the construction materials, manufacturing, or real estate sector.

Education:

Bachelor's degree in Business Administration or a related field.

Software Proficiency:

Proficient in MS Office (specifically Excel for inventory/reports) and email management.

Communication:

Excellent verbal and written communication skills in English and local languages.

Organizational Skills:

Strong multitasking abilities, attention to detail, and a proactive, problem-solving mindset.

Key Competencies:

Knowledge of basic accounting (Tally is a plus), vendor management, and documentation.

Proven ability to handle sensitive information with confidentiality. Self-starter capable of working independently with minimal supervision. Capable of working under pressure in a fast-paced environment.

Pay: ?15,000.00 - ?30,000.00 per month
