Job Summary




The Admin Executive is responsible for managing day-to-day administrative operations to ensure smooth office functioning. This role includes coordination with vendors, facility management, documentation, asset tracking, and providing overall administrative support to employees and management.

Key Responsibilities

Office Administration




Ensure smooth day-to-day office operations and housekeeping
Manage office supplies, stationery, pantry items, and consumables
Maintain records of administrative expenses and bills
Coordinate seating arrangements and workspace requirements

Vendor & Facility Management




Coordinate with vendors for housekeeping, security, pantry, courier, and maintenance services
Handle vendor agreements, renewals, and payment follow-ups
Ensure proper upkeep of office facilities, equipment, and utilities
Raise service requests and track resolution for repairs and maintenance

Asset & Inventory Management




Maintain records of office assets (IT & non-IT)
Track asset allocation, movement, and maintenance
Assist in physical verification of assets and inventory

Documentation & Compliance




Maintain administrative records, agreements, and licenses
Assist in statutory compliance documentation (shop act, fire safety, etc.)
Support audits by providing required admin-related documents

Employee Support




Assist employees with admin-related requirements
Coordinate onboarding logistics (ID cards, access, seating, stationery)
Handle travel desk coordination if applicable

Coordination & Communication




Liaise with internal teams, building management, and external agencies
Handle incoming calls, couriers, and official correspondence
Support management with ad-hoc administrative tasks

Skills & Competencies

Vendor negotiation and follow-up skills
Basic knowledge of office administration processes
Proficient in MS Excel, Word, and email communication

Qualification & Experience

Bachelor's degree in any discipline
2-5 years of experience in administration or office operations
Experience in corporate office administration preferred
