Ensure Budget is prepared for Financial year as per set process.
Responsible for preparing Monthly proposed v/s actual expense budget for all Admin, IR & Liasoning functions.
Ensure Budget must be controlled as per Annual Business Plan.
2. Facility Management
Responsible for handling Security, Housekeeping, Transportation, Pantry, Canteen, Stationary, Pest Control, Water, 5S, Hygiene & Waste Management and other facilities as per required at factory level.
Ensure manpower works as per set process.
Ensure proper management of Guest house & Company accommodation.
Ensure Agreements are prepared and payments are done accordingly.
Act as a Single Point of Contact to resolve queries related to facility management.
3. Admin Procurements, Meetings & MIS/Reports
Ensure all procurements related to admin must be within the budget line and as per process.
To Prepare the Meeting Calendar, Schedule it & prepare Minutes of meetings. Further to ensure all points related to the meeting must be closed as per given timeline.
Verification & Reconciliation of monthly bills.
To prepare and submit the Monthly reports related to procurement & Admin functions.
Ensure all arrangements & execution is done as per set process and within the budget line.
Ensure CSR & Welfare activities are done as per factory act.
To ensure all documentation related to the same is shared to HOD & Management on monthly basis.
5. EHS- Environment, Health & Safety, IR & Liasoning work.
To prepare the EHS, IR & Liasoning Calendar & execute the activities as per factory act.
To ensure all functions related to EHS, IR & Liasoning must be done within the budget line, with zero errors & before deadline.
Responsible for proper documentation for EHS, IR & Liasoning activities.
Ensure healthy relationship with Government & Local bodies.
Prompt in supporting Management & Employees in medical emergencies.
6. Generalist tasks
Work closely and coordinating with the HR Manager for Generalist profile e.g. Admin Operations, Employee Engagement & all activities.
Employee Grievance- Handling grievances related to Admin activities.
Data Management & MIS - Provide requisite reports and inputs for review processes. Ensure data accuracy & analysis.
Admin Audits- To ensure all work is done as per SOP & to produce the data or document in audits. Maintaining all records of audits & documents related to Admin.
Self-development- Continuous Improvements in Admin Process & implementing new Trends.
