The Admin Executive at Careerline Academy is responsible for ensuring smooth day-to-day operations of the office, providing administrative support to management, staff, and students, maintaining records, and ensuring an organized, efficient, and welcoming environment.
Key Responsibilities
Office Management
Oversee daily front-office operations (reception, student inquiries, phone calls, emails).
Maintain office supplies and ensure they are well stocked.
Coordinate office maintenance and repairs.
Student & Faculty Coordination
Assist with student admissions, registrations, and record-keeping.
Support faculty with administrative needs (e.g., scheduling, printing, attendance).
Handle student inquiries and provide prompt, courteous responses.
Records & Documentation
Maintain accurate records of admissions, fees, student data, and communications.
Prepare and update reports as required by management.
Ensure proper filing (physical and digital).
Scheduling & Meetings
Coordinate meetings and training sessions.
Maintain calendars for classes, events, and meetings.
Take minutes during meetings and circulate action points.
Communication & Coordination
Liaise with vendors, service providers, and partners as needed.
Coordinate with other departments for smooth operations.
Compliance & Policies
Ensure adherence to company policies and procedures.
Assist in implementing HR or operational policies at the branch/centre level.
Financial/Admin Support
Support basic bookkeeping tasks (petty cash management, fee receipts).
Coordinate with accounts/finance for fee collections and reporting.
Other Duties
Support event coordination (seminars, workshops, student events).
Any other tasks assigned by the management.
Required Qualifications & Skills
Bachelor's degree (preferred in Business Administration or relevant field).
1-3 years of experience in administration or office management (preferably in education or service sector).
Good written and verbal communication skills in English and local language.
Proficiency in MS Office (Word, Excel, PowerPoint) and basic computer skills.
Strong organizational skills with attention to detail.
Ability to multitask and prioritize work effectively.
Customer-service orientation and a pleasant, professional demeanor.
Desirable Qualities
Experience working in an educational institution.
Familiarity with student management systems or CRMs.
Ability to work independently and as part of a team.
Work Environment
Office-based role at Careerline Academy's centre.
Standard office hours with occasional extended hours during peak periods or events.
