to manage the day-to-day administrative and operational tasks of our office. The ideal candidate will ensure smooth office functioning, support operational processes, and maintain an efficient work environment. This role requires excellent multitasking abilities, strong communication skills, and a keen eye for detail, with a focus on operations and administration only (excluding HR responsibilities).
Key Responsibilities
1. Office Management
Oversee daily office operations, ensuring a clean, organized, and efficient work environment.
Manage office supplies inventory, place orders, and ensure timely replenishment.
Coordinate with vendors, service providers, and building management for maintenance and repairs.
Ensure office equipment (e.g., printers, copiers, phones) is functioning properly and arrange repairs as needed.
2. Operational Support
Assist in streamlining operational processes to improve efficiency and productivity.
Maintain and update operational records, databases, and reports.
Support the implementation of operational policies and procedures.
Coordinate logistics for meetings, events, and travel arrangements.
3. Administrative Support
Provide administrative support to senior management and staff, including scheduling meetings, managing calendars, and preparing documents.
Organize and maintain filing systems (both physical and digital) for easy access to important documents.
Handle incoming and outgoing correspondence (emails, phone calls, and mail).
Assist in preparing presentations, reports, and documentation.
4. Financial Administration
Assist in preparing and managing budgets, expense reports, and invoices.
Process petty cash transactions and maintain accurate records.
Coordinate with the finance department for payment processing and reimbursement-related tasks.
5. Communication & Coordination
Act as a point of contact between employees, management, and external stakeholders.
Ensure effective communication within the office and with external parties.
Draft and distribute internal communications, memos, and announcements.
6. Compliance & Safety
Ensure the office complies with health and safety regulations.
Maintain emergency contact lists and coordinate safety drills.
Implement and enforce office policies and procedures.
Qualifications
Education:
Bachelor's degree in Business Administration, Management, or a related field.
Experience:
Proven experience (2+ years) as an Admin Executive, Office Administrator, or similar role.
Skills:
Strong organizational and time management skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent verbal and written communication skills.
Ability to multitask and prioritize tasks effectively.
Strong problem-solving skills and attention to detail.
