We are seeking a dedicated Administrative Executive to oversee day-to-day office operations and provide essential administrative support to management and staff. The incumbent will ensure the smooth functioning of administrative processes, coordinate internal operations, and maintain organizational efficiency. The ideal candidate will be highly organized, proactive, and capable of managing multiple responsibilities in a professional environment.
Key Responsibilities
- Manage day-to-day office operations, including office supplies, equipment, and facilities.
- Maintain office filing systems, documentation, and records in an organized manner.
- Ensure cleanliness, safety, and functionality of office infrastructure.
- Coordinate with vendors, suppliers, and service providers for office maintenance and procurement.
- Assist management with scheduling meetings, appointments, and travel arrangements.
- Prepare reports, presentations, and correspondence as required.
- Maintain calendars, reminders, and follow-ups for management tasks.
- Act as a liaison between management and internal teams for smooth communication.
- Maintain attendance records, leave management, and other HR-related administrative support.
- Coordinate onboarding of new employees and orientation programs.
- Support employee queries related to office policies, facilities, and procedures.
- Organize internal events, meetings, and training sessions.
- Manage incoming and outgoing correspondence including emails, calls, and letters.
- Draft internal circulars, notices, and announcements.
- Prepare weekly/monthly administrative reports for management review.
- Ensure effective internal communication across departments.
- Ensure compliance with organizational policies and standard operating procedures.
- Maintain records for audits, legal, and regulatory requirements.
- Keep track of licenses, permits, and statutory documents.
- Support implementation of health, safety, and security protocols.
Required Qualifications and Skills
- Bachelor's degree in Business Administration, Management, or related field.
- Experience: Minimum 3 years in administrative roles in corporate or professional environments.
- Excellent verbal and written communication skills in English and Hindi
- Strong organizational, planning, and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to manage confidential information with discretion.
- Strong problem-solving skills and proactive approach to office management.
