Maintain up-to-date records of all seafarers, including certificates, contracts, and travel documents.
Monitor document validity (e.g., passports, visas, licenses, medicals) and ensure timely renewals.
Joining & Sign-Off Coordination
Assist in planning and coordinating crew sign-on/off activities.
Liaise with agents, travel teams, and port authorities for necessary arrangements.
Travel & Visa Arrangements
Coordinate travel bookings, visa processing, and hotel accommodation for crew movement.
Ensure cost-effective and timely arrangements aligned with crew schedules.
Crew Database Management
Update crew management software and maintain accurate records of crew employment history.
Generate reports for audits, inspections, and internal reviews.
Communication & Coordination
Act as a liaison between the crew, manning agents, and internal departments.
Communicate important updates to crew regarding travel, schedules, and requirements.
Compliance & Audits
Ensure all crew operations comply with company policies, MLC, STCW, and flag state regulations.
Support the department during audits and inspections by classification societies or authorities.
Welfare & Support
Address queries and concerns of seafarers and provide administrative support as needed.
Ensure crew welfare-related documentation and onboarding formalities are completed smoothly.
