Greet and assist visitors entering the office, ensuring a hospitable and professional welcome. Manage office correspondence, including emails, letters, and packages, and distribute them accordingly. Maintain and organize office filing systems (both physical and digital) to ensure easy retrieval of documents. Schedule and coordinate meetings, appointments, and travel arrangements for office personnel (for NPI launches, BPMs, team offsites etc) Assist in the preparation of administrative reports and maintaining necessary employee related date (example: addresses, contacts) Emergency support in regions for employees (Example: maintaining emergency contacts, repository of insurance linked hospitals, liasoning at local level) Monitor office supplies inventory and place orders when necessary. Assist in the onboarding process for new employees including site orientation and administrative support (eg. Address, parking stickers, workstation, necessary introduction, access card) and other administrative setup. Coordinate with building maintenance and vendors to address office needs. Coordinate with IT/concerned team to ensure conference rooms are upto the mark. Plan, organize, and coordinate various employee engagement programs, events, and activities.(example: festivities, general periodic engagement, sports) Collaborate with HR and leadership to bring in initiatives that support employees.
