Job Summary



The Administrative Assistant will provide day-to-day administrative and operational support to ensure smooth functioning of Lexgin IP. The role involves handling documentation, client coordination, internal records, basic accounts support, and assisting the founder and professional team with routine administrative tasks.

Key Responsibilities1. Office & Administrative Support



Manage daily office operations and maintain proper records Handle incoming calls, emails, and client inquiries Schedule meetings, hearings, and follow-ups Maintain physical and digital filing systems (client files, IP documents, invoices)

2. Client Coordination



Coordinate with clients for documents, signatures, and payments Track timelines for patent/design/copyright filings and deadlines Send reminders to clients regarding pending documents or fees Maintain client database and CRM records

3. Documentation & Compliance



Prepare basic documents such as engagement letters, invoices, and follow-up emails Assist in filing forms with IP India (under guidance) Maintain confidentiality of client and firm information

4. Accounts & Billing Support



Assist in preparing invoices and tracking payments Maintain records of professional fees, government fees, and expenses Coordinate with the accountant for GST, compliance, and reports

5. Support to Founder & Team



Assist Founder & Managing Director in administrative tasks Coordinate with patent attorneys, agents, and external consultants Support marketing/admin activities such as events, workshops, and outreach programs

Required Qualifications



Bachelor's degree (any discipline) 1-3 years of experience in administrative or office support roles Freshers with strong organizational skills may also apply

Preferred Skills



Basic knowledge of MS Office (Word, Excel, Email) Good written and verbal communication skills Strong organizational and follow-up skills Ability to handle multiple tasks and deadlines Willingness to learn basics of Intellectual Property (training will be provided)
