We are seeking a highly organized and proactive Office Administrator to be the backbone of our daily operations. You will be the go-to person for all office issues, ensuring our work environment is smooth, efficient, and professional. The ideal candidate is a natural problem-solver who is comfortable managing everything from facilities and inventory to office decorum and employee support.
Key Responsibilities:
Facilities & Vendor Coordination:
Act as the primary point of contact for all office-related issues and maintenance requests.
Liaise directly with the tech park management, electrician, plumber, and other vendors to resolve facilities problems promptly.
Conduct regular checks of the office space to ensure everything is in working order.
Inventory & Supplies Management:
Manage and monitor the inventory of all pantry and cafeteria supplies, including coffee beans, tea bags, milk, sugar, and water.
Maintain stock levels of all office stationery, placing orders as needed to ensure the team is always equipped.
Oversee the office first-aid kit, ensuring it is fully stocked with necessary medicines and medical supplies at all times.
Office Operations & Discipline:
Monitor and manage daily employee attendance, addressing any discrepancies and reporting to management.
Uphold office decorum and discipline by ensuring all employees adhere to company policies and maintain a professional work environment.
Serve as the central point of contact for employee operational requests and support.
Required Skills & Qualifications:
1-3 years of experience in an office administration, facilities management, or operations role.
Proven experience in vendor management and inventory control.
Exceptional organizational and time-management skills with a high level of attention to detail.
Strong communication and interpersonal skills, with the ability to interact professionally with employees and external vendors.
A proactive problem-solver who can anticipate needs and address issues before they escalate.
Ability to handle sensitive situations with discretion and professionalism.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
