About Project:
EpiC
(Meeting Targets and Maintaining Epidemic Control) in India is supporting life-saving activities to maximize HIV testing and treatment for people living with HIV (PLHIV) in the PEPFAR priority state of Maharashtra. EpiC is focused on accelerating and intensifying HIV case detection among hidden and unreached at-risk adults and youth through index testing, enhanced peer outreach approach (EPOA), social network strategies (SNS), and virtual outreach.
LEPRA will work in nine PEPFAR (US President's Emergency Plan for AIDS Relief) priority districts of Maharashtra, namely: Pune, Thane, Nashik, Ahmednagar, Sangli, Satara, Solapur, Kolhapur and Raigad
The position is for immediate employment
The Admin Assistant will support the smooth functioning of project operations by providing administrative, clerical, and logistical assistance. This role is crucial in ensuring effective documentation, coordination, and support to project staff
The Admin Assistant will have the following responsibilities
1. Support in maintaining the books of accounts for the project and manage day to day transactions.
2. Support in recording of all transactions in computer based accounting system (Tally) in accordance with generally accepted accounting practices and ensure proper documentation of all transactions;
3. Ensure timely payment of payment requests from vendors, partner organizations, etc. in connection with all programme related activities.
4. Ensure all bills related to travel, hotel bookings, conferences etc are reviewed and processed for payment on time.
5. Prepare Monthly/Quarterly/ Annual financial reports in the approved manner and suggest corrective actions in case of variances
6. Ensure timely submission of Tax report to FHI
7. Coordinate/ facilitate in internal and external audits on timely basis.
QUALIFICATIONS, EXPERIENCE, AND SKILL-SET
B.Com with 8 years' experience or MBA from a recognized institution with atleast 3 years' experience in Finance management and Administrative functions preferably in an NGO or health sector or in any Global Fund projects.
Skill set required
1. Strong interpersonal and communication in local language.
2. Ability to multitask and work in a team-oriented environment.
3. Commitment to confidentiality, ethical standards, and NGO values.
4. Sensitivity to issues related to HIV/AIDS, gender, and marginalized communities.
5. Demonstrate comprehensive knowledge of Administatration throughout the project life cycle.
6. Support in preparing budgets and reporting formats
7. Support in internal and external audits
8. Good liaison with government departments, banks and other stake holders.
9. Procurement of stationery and other sundry items
10. Maintaining stocks and supply to Projects
11. Coordinate with outside government offices& banks
12. Arranging for submission and collecting documents as per department requirements
13. Travel booking if any
14. Proficiency in verbal and written communication in English
15. Good IT awareness and computer skills.
16. Ability to travel.
