Key Responsibilities:
Oversee daily administrative and site office operations to ensure smooth workflow.
Maintain attendance, leave records, daily manpower reports, and biometric system coordination.
Manage petty cash transactions, vendor payments, vouchers, and regular bill submissions.
Coordinate with Purchase, Accounts, and HR departments for material tracking, vendor documentation, and staff-related queries.
Maintain accurate records of inward/outward materials, gate passes, delivery challans, inventory logs, and equipment movement.
Assist the Project Manager in preparing day-to-day reports, compliance documents, MOMs, and official correspondence.
Monitor housekeeping, security staff, pantry items, office supplies, and ensure proper facility management at the site.
Handle visitor management, site access permissions, and ensure proper safety induction for new workers.
Ensure timely renewal of statutory documents such as labour licenses, vendor agreements, and compliance paperwork.
Coordinate travel, accommodation, and logistics arrangements for site staff and vendors when required.
Maintain filing systems (physical and digital) for all administrative, statutory, and contractor-related documents.
Support in organizing site meetings, ensuring availability of resources, and maintaining meeting records.
Act as a communication link between the site office and head office for all administrative updates.
Ensure adherence to company policies, safety guidelines, and best administrative practices.
