Key Responsibilities -



Executive Support

Manage executive calendars, schedule meetings, and coordinate complex travel arrangements for leadership team



Provide day-to-day coordination and administrative support to ensure seamless operations



Prepare meeting materials, take minutes, and follow up on action items



Handle confidential information with discretion and professionalism



Office Administration



Oversee comprehensive office administration including vendor management and contract coordination



Manage facilities support, ensuring optimal working environment and infrastructure maintenance



Coordinate logistics for office operations, equipment procurement, and space management



Maintain accurate documentation and filing systems, both physical and digital



Compliance and Travel Management

Handle FRRO (Foreigners Regional Registration Office) compliance and documentation



Process visa applications, renewals, and related immigration documentation



Manage travel bookings, including flights, accommodations, and ground transportation



Process expense claims and ensure adherence to company policies and procedures



Maintain compliance with local regulations and company guidelines



Expat Support Services

Provide comprehensive support to expatriate employees in India



Assist with housing arrangements, lease agreements, and accommodation setup



Coordinate relocation services including moving, settling-in assistance, and local orientation



Address daily operational needs such as banking, utilities, local registrations, and emergency support



Serve as cultural liaison and provide guidance on local customs and procedures



Required Qualifications

Bachelor's degree or equivalent experience

Minimum 3-5 years of administrative or executive assistant experience

Strong organizational and time management skills

Excellent written and verbal communication abilities

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)

Experience with travel coordination and expense management

Knowledge of visa processes and FRRO procedures preferred

Experience supporting international employees or expat services is advantageous
