Job Description

Position: Admin - Documentation & Project Coordination



Location: Thirumudivakkam, Chennai



Department: Administration / Projects



Reporting To: Project Manager / Management



Role Overview



We are looking for a proactive and detail-oriented

Admin (Lady)

to manage project documentation, assist in project coordination, and handle day-to-day office administration. The ideal candidate should have excellent organizational skills, good communication abilities, and the capability to support project teams in achieving deadlines and efficiency.

Key Responsibilities



Documentation & Records Management



Prepare, maintain, and organize project-related documents, reports, and correspondence. Maintain filing systems (both digital and physical) for contracts, invoices, and project records. Ensure timely submission of project documentation to clients and internal departments. Draft letters, official emails, and other communication material.

Project Coordination



Assist project managers in planning, scheduling, and monitoring project activities. Follow up with vendors, clients, and internal teams for project updates. Track project deadlines and support in preparing progress reports. Coordinate meetings, prepare minutes of meetings (MoM), and circulate action points.

Office Administration



Handle routine office administration, including correspondence, visitor management, and basic HR support. Maintain inventory of office supplies and ensure smooth day-to-day operations. Support management with travel arrangements, appointments, and calendar coordination. Assist in preparing presentations, proposals, and reports as required.

Qualifications & Skills



Bachelor's degree (preferred in Administration, Commerce, or related field). 2-5 years of experience in administration, documentation, or project coordination. Proficiency in MS Office (Word, Excel, PowerPoint) and basic documentation software. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Ability to work independently with minimal supervision. Professional, positive, and team-oriented attitude.
