The Administrative Assistant provides comprehensive administrative and clerical support to ensure the efficient operation of the manufacturing unit's office and plant administration activities.
Key Responsibilities & Duties
Manage incoming/outgoing calls, emails, and correspondence.
Greet visitors, contractors, and vendors; issue visitor passes and maintain visitor log.
Handle incoming/outgoing couriers and mail distribution.
Documentation & Record Keeping
Maintain and update employee attendance records, leave records, and shift rosters.
Prepare and maintain files for purchase orders, work orders, invoices, and delivery challans.
Assist in preparing daily/weekly/monthly production and admin reports.
Manage statutory records (PF, ESI, labor law compliance documents, factory license renewals, etc.).
HR & Employee Support
Assist in onboarding formalities for new workers/operators (ID cards, uniforms, locker allocation, etc.).
Coordinate with HR for payroll-related data collection (attendance, overtime, advances).
Issue gate passes, material gate passes, and canteen coupons.
Maintain worker welfare records (safety shoes, uniforms, lockers, etc.).
Purchase & Inventory Assistance
Raise purchase requisitions for office stationery, pantry items, housekeeping materials, and safety PPEs.
Follow up with vendors and coordinate with the purchase department.
Maintain stock register for stationery and consumables.
Facility & Housekeeping Coordination
Coordinate with housekeeping, security, and canteen staff.
Monitor and replenish pantry supplies, drinking water, and first-aid kits.
Report maintenance issues (AC, lighting, plumbing) to the maintenance team.
Meeting & Travel Coordination
Schedule internal meetings and arrange conference rooms.
Book transport/accommodation for visiting HO staff or guests.
Data Entry & MIS
Update daily production data, dispatch details, and manpower reports in Excel/ERP system.
Prepare PowerPoint presentations and Excel reports as required by the Plant Head.
Compliance & Safety
Assist in maintaining safety-related documentation and display boards.
Support internal/external audits (ISO, customer audits, labor department inspections).

Pay: ?16,000.00 - ?20,000.00 per month
