We are looking for a smart, detail-oriented Admin Assistant (Female) to support our daily operations and client coordination activities. The candidate will be responsible for handling client orders, maintaining documentation, assisting the operations team, and ensuring smooth communication between departments.
Key Responsibilities (KRA):
1. Order Management & Client Coordination
Handle client order processing -- from order receipt to dispatch coordination.
Communicate with clients for order confirmation, status updates, and delivery timelines.
Coordinate with production and dispatch departments to ensure timely fulfillment.
Maintain proper records of all client communications and order documentation.
2. Administrative Support
Prepare quotations, invoices, and delivery challans as required.
Maintain stock records and coordinate with the inventory team for availability updates.
Support management in day-to-day administrative tasks and filing of documents.
Handle incoming calls, emails, and correspondence related to orders or inquiries.
3. Operations Coordination
Follow up with internal teams (production, dispatch, accounts) to track order progress.
Ensure accuracy in documentation and delivery schedules.
Assist in maintaining smooth workflow between departments.
4. Reporting
Prepare daily/weekly reports on order status, pending deliveries, and client feedback.
Update management on operational performance and client-related issues.
