We are seeking a detail-oriented and proactive Administrative Assistant to support day-to-day administrative operations in a diagnostic center. The role requires excellent organizational skills, strong communication abilities, and a customer-first mindset. The candidate will play a critical role in maintaining smooth operations, coordinating with departments, and ensuring efficient front-office and back-office support.
Key Roles and Responsibilities:
Handle front-desk activities including welcoming patients, managing inquiries, and directing them appropriately.
Schedule appointments, manage calendars, and ensure efficient time management for staff and diagnostic procedures.
Maintain patient records, diagnostic reports, and files in an organized and confidential manner.
Coordinate with internal departments such as billing, pathology, radiology, and logistics for smooth workflow.
Manage inventory of office and medical supplies, placing orders as necessary.
Assist in data entry, document preparation, and internal communication.
Support billing, invoicing, and insurance claim processes as required.
Ensure compliance with healthcare and diagnostic regulations and maintain proper documentation.
Handle correspondence via emails, phone calls, and letters professionally.
Organize meetings, prepare agendas, and take minutes as needed.
Qualifications Required:
Graduate in any discipline (B.Com, BBA, or equivalent preferred).
Minimum 1-3 years of experience in an administrative or front-desk role, preferably in a diagnostic or healthcare setup.
Skills Needed:
Proficient in MS Office (Word, Excel, PowerPoint) and familiarity with medical/diagnostic software or CRMs.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Patient-friendly attitude with professionalism and empathy.
Ability to work under pressure and handle sensitive information confidentially.
Preferred Attributes:
Experience in diagnostic centers, pathology labs, or hospitals.
Knowledge of medical terminology and diagnostic workflows.
Familiarity with NABL/NABH documentation and standards (preferred but not mandatory).
