Manage day-to-day administrative operations including correspondence, filing, documentation, and record maintenance.
Handle phone calls, emails, and inquiries from students, clients, and vendors.
Maintain office supplies inventory and place orders as needed.
Support in scheduling meetings, appointments, and events for management and design teams.
Oversee cleanliness, organization, and maintenance of office premises and studio spaces.
Institute Coordination
Assist in student admissions, registrations, and maintaining student records.
Coordinate with faculty, trainers, and design mentors regarding class schedules and events.
Help organize workshops, exhibitions, guest lectures, and design showcases.
Maintain attendance records and help with academic and administrative reporting.
Design House Support
Coordinate with design teams to ensure timely communication between clients and production teams.
Assist with project documentation, quotations, and client follow-ups.
Maintain digital and physical archives of design projects, portfolios, and presentations.
Support social media or marketing teams with documentation and scheduling when required.
Finance & Vendor Management
Assist with basic bookkeeping -- handling petty cash, invoices, and reimbursements.
Coordinate with vendors, suppliers, and service providers for procurement and maintenance.
Support in preparing expense reports and maintaining budget-related records.
Skills & Qualifications
Bachelor's degree in
Administration, Design Management, or related field
.
1-3 years of experience in an administrative or coordination role (preferably in a creative/design environment).
