Job Description

The Admin and HR Manager at OQ will lead and manage key human resources functions including recruitment, employee welfare, and staff data management. This role is critical in shaping and growing the HR department, with a strong focus on training and mentoring a junior HR executive to build departmental capabilities over time.

In addition to HR responsibilities, the Admin and HR Manager will oversee administrative functions, supporting management by preparing and sending proposals and key communications to leads. Post the initial 6 to 12 months, this role will also include training an Admin Executive to take over these administrative tasks, ensuring smooth operations and scalability.

Key Responsibilities:



Prepare and send proposals to leads; manage timely follow-ups via email. Lead end-to-end hiring process for new team members, ensuring alignment with organizational needs. Hire and train a Junior HR Executive and Admin Executive to handle day-to-day HR and admin operations; oversee and guide their work. Act as the first point of contact for resolving team conflicts and addressing employee concerns. Track and maintain accurate attendance records for all staff. Monitor employee expenses and reimbursements, ensuring adherence to company policies and budgets. Plan and implement employee welfare activities to foster team engagement and morale. Ensure office decorum and discipline is maintained, especially during the absence of management. Assist management in building and implementing structured, system-driven processes by utilizing the tools and software already invested in by the organization.

Role Execution Day to day:



1.

Proposals & Lead Follow-Up



Draft, format, and send proposals to leads as directed by the management.

Maintain a tracker of all leads, proposal status, and follow-up dates.

Send follow-up emails to leads and coordinate any required documentation or clarifications.

2.

Hiring & Onboarding New Team Members



Coordinate job postings across platforms.

Screen resumes, schedule interviews, and conduct initial HR rounds.

Manage offer roll-out, documentation, and onboarding formalities.

Ensure smooth handover to reporting managers post-joining.

3.

Hiring & Training Junior HR & Admin Executives



Define JD and expectations for junior roles.

Lead recruitment and onboarding of junior HR and Admin executives.

Create a structured training plan covering daily tasks, reporting systems, and company protocols.

Conduct regular check-ins, reviews, and feedback sessions for skill development.

4.

Team Conflict Resolution & Employee Relations



Act as the go-to HR for addressing team grievances, conflicts, or interpersonal issues.

Arrange one-on-one discussions when required.

Document conflicts, resolutions, and follow-up actions.

5.

Attendance & Leave Management



Monitor daily attendance using software or manual logs.

Approve/reject leaves based on policies.

Prepare monthly attendance reports for payroll processing.

6.

Monitoring Employee Expenses & Reimbursements



Verify and process employee reimbursement claims.

Maintain a monthly tracker of employee expenses and ensure compliance with set limits.

Raise discrepancies to management for review.

7.

Employee Welfare & Engagement Activities



Plan small team-building activities or celebrations (birthdays, milestones, etc.).

Suggest initiatives for employee motivation and well-being.

Gather feedback on welfare initiatives and make improvements.

8.

Maintaining Office Decorum & Discipline



Ensure daily upkeep of office space and adherence to office conduct policies.

Act as the floor head in the absence of management.

Handle escalations related to punctuality, behavior, or facility usage.

9.

System & Process Implementation Support



Work with management to identify manual processes that can be automated using existing software.

Train the team on how to use HR and admin systems effectively.

Create SOPs and trackers for standard workflows.

Pay: ₹40,000.00 - ₹55,000.00 per month
