The Employee Expense Reimbursement Executive is responsible for managing, reviewing, and processing employee expense claims in line with company policies. This role ensures timely reimbursement, accurate record-keeping, and compliance with internal controls and financial regulations across retail operations.
Key Responsibilities
Review, verify, and process employee expense reimbursement claims (travel, meals, mobile, petty cash, store-related expenses, etc.)
Ensure all claims comply with company expense policies and approval hierarchies
Coordinate with store managers, regional teams, and employees to resolve discrepancies
Maintain accurate records and documentation for audits and reporting
Process reimbursements through payroll or accounting systems within defined timelines
Monitor expense trends and flag unusual or non-compliant claims
Support monthly and yearly expense reporting for finance and management
Assist in updating expense reimbursement policies when required
Ensure compliance with internal controls, accounting standards, and statutory requirements
Required Skills & Competencies
Knowledge of expense reimbursement processes and accounting basics
Familiarity with retail operations and multi-location expense handling
Attention to detail and strong verification skills
Proficiency in MS Excel and accounting/ERP systems
Good communication and coordination skills
Ability to handle high volumes of transactions efficiently
Qualifications
Bachelor's degree in Commerce, Accounting, Finance, or related field
1-3 years of experience in expense management, accounts payable, or retail finance (can vary)
Preferred Experience
Experience working with retail chains or multi-store environments
Hands-on experience with expense management tools or ERP systems (SAP, Oracle, Tally, etc.)
