Key Responsibilities
A. Accounts & Finance (Primary Responsibility)
Collect student fees
independently
(Cash + Online)
Issue receipts and maintain proper records
Record all fee collections accurately in:
Excel / Tally / CMS (as applicable)
Maintain:
Student-wise fee records
Class-wise fee records
Pending dues list
Send fee reminders via WhatsApp / calls
Track and follow up on outstanding payments
Record all institute expenses, including:
Staff salaries
Rent
Utilities
Printing & stationery
Other operational expenses
Maintain daily cash records and perform basic reconciliation
Prepare simple
monthly income-expense summaries
Maintain soft copies and backups of all financial records
End-of-day cash handover and reporting to Class Manager
Support during audits or internal reviews if required
B. Administrative & Office Responsibilities (Secondary Responsibility)
Handle new enquiries (walk-ins / calls / WhatsApp)
Record enquiry details accurately
Schedule and coordinate meetings with parents
Support admission documentation and records
Communicate:
Class timetables
Test schedules
Holiday notices
Any schedule changes to students and parents
Assist in basic editing and formatting of worksheets
Take printouts of worksheets, tests, and notices
Coordinate printing timelines with teachers
Distribute worksheets and test papers as required
Maintain office files and records (physical & digital)
Coordinate with peon for:
Printing
Stationery
Classroom requirements
Workload Expectations
Higher workload during
peak admission season (Nov-Jan)
Ability to handle multiple tasks during busy periods
Required Skills (Must-Have)
Good grip over
basic accounting concepts
Strong numerical accuracy and attention to detail
Basic computer skills:
Excel / Google Sheets
Word / Docs
Ability to maintain clear and organized records
Honest, responsible, and dependable
Good-to-Have Skills (Can Be Taught Over Time)
Familiarity with CMS
Experience in fee handling or front-office work
Basic communication skills with parents
Ability to multitask and manage time efficiently
