Roles and Responsibilities of an Accountant and Stores
Main Purpose:
To manage financial records, ensure compliance with regulations, support budgeting, and provide accurate financial reporting for business decisions.
Responsibilities
1. Maintain Financial Records
Record day-to-day financial transactions like sales, purchases, receipts, and payments.
Maintain ledgers, journals, and supporting documents accurately.
Reconcile bank statements and identify discrepancies.
2. Prepare Financial Reports
Prepare balance sheet, income statement, and cash flow reports.
Assist in budgeting and variance analysis.
Submit reports to management on time.
3. Handle Tax and Compliance / Calculate and file GST, TDS, and Income tax returns.
Calculate and file GST, TDS and IT returns.
Check whether GST payment has been made by customers or suppliers.
Ensure compliance with accounting standards and laws.
Support internal and external audits.
4. Manage Payables and Receivables
Process invoices and payments to vendors.
Follow up on outstanding payments from customers.
Maintain accurate records of accounts.
5. Use Accounting Software
Operate software like Tally, QuickBooks, or ERP.
Generate reports and entries through the system.
Ensure data accuracy and backups.
Key Responsibilities for Stores
6. Receiving and Inspection:
Receive incoming goods and materials.
Inspect deliveries for quantity and quality compliance.
Verify delivery documents against purchase orders.
7. Inventory Management:
Maintain accurate stock records and update inventory management systems.
Conduct regular stock audits and physical verification.
Monitor stock levels and report shortages or excesses.
8. Storage and Organization:
Ensure proper storage of materials to prevent damage or loss.
Organize goods systematically for easy access and retrieval.
Maintain cleanliness and safety in the storage area.
9. Issuance and Dispatch:
Issue materials as per requisitions from various departments.
Ensure proper documentation for all goods issued or dispatched.
Coordinate with logistics for timely dispatch of materials.
10. Documentation and Record Keeping:
Maintain accurate records of receipts, issues, and stock balances (GRN and MRN).
Prepare and submit reports related to inventory and store operations.
Keep all store documents and records updated and easily accessible.

Follow company policies and safety guidelines in store operations.
Ensure hazardous materials are stored and handled safely.
Report any discrepancies, damages, or theft immediately.
12. Coordination:
To align supply needs for Printing and other departments for material needs.
Support audits and inspections by providing required information.
Assist in planning and implementing inventory control measures.
Skills Needed
1. Strong attention to detail and accuracy in data entry.
2. Knowledge of accounting principles and financial regulations.
3. Proficiency in accounting software and MS Excel.
4. Analytical skills to interpret financial data.
5. Time management and ability to meet deadlines.
6. Basic knowledge of inventory tools and Attention to detail and accuracy.
7. Ability to work under pressure and in a team.
