A privately held family office is seeking a Family Office Controller to manage, consolidate, and oversee all aspects of the family's financial activities. The ideal candidate will combine accounting expertise with strong organizational and reporting skills. This role requires building and maintaining a master financial reporting system that integrates real estate, investments, commissions, and entrepreneurial ventures.
This position is critical for ensuring real estate professional (REP) tax status compliance, supporting entity-level tax readiness, and providing timely, accurate reporting to guide financial decision-making.
Key Responsibilities
Financial Oversight
Develop and maintain a master financial workbook that consolidates all real estate holdings, investment accounts, and liabilities.
Prepare and deliver weekly and monthly reporting packages covering cash flow, rent collections, loan positions, and investment performance.
Monitor liquidity and ensure the family office maintains a conservative cash floor.
Real Estate Accounting
Reconcile rent rolls across property management systems, bank accounts, and manual records.
Produce monthly property-level P&Ls, including rent income, mortgage obligations, HOA dues, taxes, insurance, repairs, and reserves.
Organize capital contributions, track ownership percentages, and maintain reserve policies.
Tax Readiness & REP Compliance
Create and maintain entity-specific tax folders containing leases, mortgage statements, insurance, property tax bills, repair invoices, and capital expenditures.
Track and log activities to support Real Estate Professional (REP) status: >750 hours per year and >50% of professional time on qualifying activities.
Coordinate with external tax advisors to ensure all filings are timely and compliant.
Investments
Track contributions and performance for equities and ETFs (via Fidelity) and crypto holdings (BTC/ETH via Coinbase).
Monitor a recurring Dollar Cost Averaging (DCA) program (~$16-17K/month).
Provide monthly reconciliations and performance reports.
Commissions & Entrepreneurial Ventures
Record and reconcile commission income.
Support modeling and reporting for entrepreneurial initiatives and M&A opportunities.
Day-to-Day Functions
Review and reconcile transactions in Monarch, Hemlane, and bank accounts daily.
Update the master sheet with all inflows and outflows.
Track rental collections and delinquencies in real time.
Maintain REP logs by documenting time and activities weekly.
Organize and upload supporting documents into Google Drive folders.
Communicate with property managers, tax advisors, and business partners as needed.
Deliver weekly liquidity reports and exception summaries.
Required Skills & Qualifications
Bachelor's degree in Accounting, Finance, or related field (CPA or equivalent preferred).
Minimum 5 years of experience in accounting, family office management, or real estate finance.
Strong working knowledge of real estate accounting, property management systems, and REP tax requirements.
Advanced proficiency in Excel/Google Sheets, financial modeling, and multi-entity reporting.
Demonstrated ability to prepare tax-ready financial packages.
Highly organized, detail-oriented, and proactive communicator.
Success Metrics
Timely delivery of weekly and monthly financial reports.
All LLCs fully reconciled and tax-ready by required deadlines.
REP status compliance documented and auditable.
Cash flow visibility and liquidity floor maintained at all times.
Master sheet becomes the single source of truth for decision-making.
