) and need an experienced, detail-oriented
Part-Time Accountant
to help with financial oversight, bookkeeping, payroll management, and coordination with our U.S.-based accountant.
Role Overview
We are seeking a
highly organized and self-driven part-time accountant
based in
India
, with experience in
U.S. healthcare finance
,
QuickBooks
, and
payroll management
for both domestic and
foreign virtual workers
. The ideal candidate will have a strong background in
EMR systems
(specifically
Nextech Practice Plus
), proficiency with
QuickBooks Online
and
QuickBooks Payroll
, and experience managing the financials of
multiple LLCs
. This role will be instrumental in ensuring that our financials are up-to-date and reconciled on a
daily basis
while also helping with
tax preparation
support in collaboration with our U.S.-based accountant.
Key Responsibilities
Daily Financial Management & Bookkeeping
:
Reconcile
bank deposits
,
insurance payments
, and
patient transactions
against records in
QuickBooks Online
.
Update
general ledger
entries, track
accounts receivable
and
accounts payable
.
Reconcile patient
payments and insurance payouts
to ensure no money is missing.
Perform
day-to-day bookkeeping tasks
for the various LLCs (Property LLC and two practice LLCs).
Payroll Management
:
Process
payroll
for U.S. and
foreign virtual workers
using
QuickBooks Payroll
.
Manage
payroll taxes
, deductions, and benefits for employees in the U.S. and other countries, ensuring compliance with local tax regulations.
Handle
bi-weekly or monthly payroll
processing and ensure timely and accurate employee compensation.
EMR & Healthcare Financial Oversight
:
Work with Nextech Practice Plus
and other
EMR systems
to ensure patient records and financial transactions are properly updated and reconciled.
Help with
medical billing
, reviewing patient balances, and managing any discrepancies between
insurance reimbursements
and
patient payments
.
LLC Financial Management
:
Manage the financials of
multiple LLCs
(Property LLC, Practice LLCs), including ensuring
accurate bookkeeping
and
monthly reporting
.
Handle
intercompany transfers
,
expenses
, and
profit allocations
across different business entities.
Maintain and update
separate ledgers
for each LLC, ensuring compliance and accuracy across all financial records.
Tax Preparation Support
:
Assist with
tax documentation
for quarterly and year-end filings by preparing financial summaries and expense reports.
Work closely with the
U.S.-based accountant
to ensure all tax filings are accurate and submitted on time.
Financial Reporting & Analysis
:
Prepare
monthly financial reports
(P&L, balance sheet, cash flow) to keep leadership updated on the financial health of the practice and LLCs.
Monitor and report on key financial metrics such as
collections
,
expenses
, and
outstanding balances
.
Help with
budgeting
and financial
forecasting
for the practice and LLCs.
Desired Skills and Qualifications
Proficiency with QuickBooks Online
and
QuickBooks Payroll
(required).
Experience with
EMR systems
, specifically
Nextech Practice Plus
, for integration with financial records.
Experience managing multiple LLCs
and handling their
financial structures
(i.e., Property LLC and multiple practice LLCs).
Strong understanding of
U.S. tax regulations
(especially for small businesses, LLCs, and virtual workers).
Solid bookkeeping experience
with
accounts payable
,
accounts receivable
, and
bank reconciliation
.
Experience with
payroll management
for both
domestic employees
and
foreign virtual workers
.
Strong Excel/Google Sheets skills
for reporting and financial analysis.
Detail-oriented and highly organized, with the ability to manage multiple financial systems and business entities.
Excellent communication skills
in English, both written and verbal.
Comfortable working
remotely
and in a
cross-functional team
, with an ability to manage time across multiple time zones.
Working Hours
This is a
part-time position
requiring approximately
20-25 hours/week
.
The accountant should have
overlap with U.S. Eastern Standard Time (EST)
for at least 3-4 hours each day to ensure smooth communication with the U.S. team.
