Ensure 100% accurate and timely fee collection across all classes.
Maintain up-to-date student fee records in ERP.
Reduce fee discrepancies and collection delays through proactive follow-up.
Ensure monthly, quarterly, and annual fee reports are accurate.
2. ERP Management
Smooth operation of school ERP for accounts-related activities.
Accurate updating of fee receipts, concessions, penalties, and refunds.
Coordinate with the ERP vendor for any technical or functional issues.
3. Reconciliation & Accounting
Daily reconciliation of fee collection vs. bank deposits.
Monthly reconciliation of all accounts, including Petty Cash, Vendor Payments, and Salary Accounts.
Maintain clear, audit-ready records.
4. Statutory Compliance
Ensure timely preparation and filing of:
ESI
PF
PT
TDS
GST (if applicable for ancillary services)
Maintain compliance documents and ensure zero delays or penalties.
5. MIS & Reporting
Prepare monthly MIS covering fee collection, dues, expenses, cash flow, pending receivables, etc.
Provide weekly updates to management regarding fee status and financial indicators.
Present variance analysis when required.
6. Internal Controls & Audit Support
Ensure all accounting entries are accurate and verified.
Prepare schedules, statements, and documentation required for internal and statutory audits.
Implement strong controls to avoid leakage or errors.
7. Vendor & Payment Management
Maintain vendor bills, approvals, and payment cycles.
Verify supporting documents before releasing payments.
Track outstanding payments and ensure timely processing.
8. Communication & Coordination
Coordinate with parents regarding fee queries in a polite and professional manner.
Work closely with Admin, HR, and Academics on related financial matters.
Maintain confidentiality and adhere to school policies.
