The Accountant & Billing Officer is responsible for managing financial accounting, monitoring manufacturing and storage-related costs, and ensuring timely and accurate billing for goods produced, stored, or dispatched. The role involves coordination with production, warehouse, sales, and logistics teams to maintain accurate records and support smooth financial operations.
Key Responsibilities
1. Accounting & Financial Management
Maintain daily accounting entries (AP, AR, general ledger, bank reconciliation).
Record purchase, sales, inventory, and expense transactions in the accounting system.
Assist in preparing monthly/annual financial statements: P&L, Balance Sheet, Cash Flow.
Monitor petty cash, cash flow, and bank transactions.
Support internal and external audits with required documentation.
2. Billing & Invoicing
Generate customer invoices for manufactured products, storage charges, handling charges, and dispatch-related services.
Verify rates, quantities, storage days, taxes, and discounts before billing.
Coordinate with the warehouse team for goods receipt (GRN), dispatch records, and storage duration reports.
Maintain customer billing files, delivery notes, and supporting documents.
Track customer payments and follow up for outstanding receivables.
3. Manufacturing Cost & Inventory Control
Work with production to track raw material consumption, wastage, and finished goods output.
Assist in preparing cost sheets, product costing, and monthly cost variance reports.
Coordinate periodic stock audits (raw materials, finished goods, and warehouse storage items).
Reconcile inventory records between accounts, warehouse logs, and ERP systems.
4. Storage/Warehouse Billing & Monitoring
Prepare monthly storage bills based on pallet/CBM/weight/space occupied and duration.
Track inward and outward movements to calculate accurate storage charges.
Verify warehouse service charges (loading, unloading, packaging, labelling, etc.).
Maintain warehouse occupancy reports and ensure timely billing for storage services.
5. Taxation & Compliance
Prepare and file GST/VAT, TDS, and other statutory returns.
Ensure correct tax computation on manufactured goods and warehouse services.
Maintain statutory compliance documents and support regulatory audits.
6. Coordination & Documentation
Work closely with production, warehouse, sales, and logistics departments for accurate data flow.
Respond to customer queries related to invoices, statements, and proof of storage/dispatch.
Prepare MIS reports such as billing summary, receivable reports, cost analysis, and warehouse occupancy reports.
Required Qualifications & SkillsEducation
Bachelor's degree in Commerce, Accounting, Finance, or related field.
CA / CMA Inter is an added advantage.
Experience
2-5 years of accounting and billing experience, preferably in a
manufacturing or warehouse/storage company
.
Technical Skills
Proficiency in accounting/ERP software (Tally etc.).
Strong knowledge of GST/VAT rules, TDS, and inventory accounting.
Advanced Excel skills (Pivot Tables, VLOOKUP, data analysis).
