Job Description

Essential Accounting Knowledge



1. Basic Accounting Concepts

Understanding of debits and credits

Knowledge of assets, liabilities, income, expenses, equity

Awareness of the accounting cycle (record ? classify ? summarize ? report)

2. Bookkeeping Skills

Recording day-to-day transactions

Maintaining ledgers, journals, and cash books

Handling petty cash

Managing receipts and payments accurately

3. Accounts Receivable & Payable

Raising invoices for students/clients

Tracking course fee payments and installments

Preparing receipts and managing payment follow-ups

Handling vendor bills and ensuring timely payments

Recording outstanding dues and updating balances

4. Bank-Related Accounting

Bank reconciliation (matching bank statements with company books)

Preparing bank deposits

Tracking online transfers, UPI payments, cheques, and POS transactions

5. Expense Management

Tracking employee reimbursements

Monitoring event/workshop expenses

Maintaining expense reports and categorizing expenses correctly

6. Tax Basics

Basic understanding of GST (input/output)

Awareness of TDS deductions and filing

Knowing how to collect and store tax-related documents and invoices

7. Accounting Software Knowledge

Familiarity with at least one tool:

Tally ERP / Tally Prime

QuickBooks

Zoho Books

Excel-based accounting

Should know how to:

Enter vouchers (sales, purchase, payment, receipt)

Generate basic reports (P&L, balance sheet, ledger statements)

Office Assistant Job Responsibilities



1. Front Desk & Communication

Answer incoming calls and respond to emails.

Greet visitors, students, parents, and clients.

Handle inquiries related to courses, coaching programs, schedules, etc.

Maintain professional communication on behalf of the organization.

2. Administrative Support

Manage daily office operations and ensure supplies are stocked.

Maintain filing systems--both digital and physical.

Prepare and organize documents, reports, and presentations.

Schedule appointments, meetings, and calls for trainers, coaches, or management.

Assist with data entry and record-keeping.

Handle photocopying, scanning, printing, and courier arrangements.

3. Student/Client Coordination

Assist students/clients with registration and onboarding.

Maintain student records, attendance sheets, and course files.

Follow up for missing documents or pending information.

Provide reminders for sessions, workshops, or coaching appointments.

5. Office Maintenance & Organization

Ensure office environment is clean, organized, and functional.

Coordinate with housekeeping, service providers, or technicians.

Monitor office equipment (printers, projectors, laptops).

6. Documentation & Reporting

Update daily, weekly, or monthly office reports.

Organize receipts, bills, and other administrative documents.

Maintain checklists and logs (attendance, inventory, etc.).

7. Coordination With Teams

Support HR for attendance, leave records, and onboarding.

Collection of bills, receipts, and documents.

Coordinate with marketing team for campaign support or content updates.

8. Basic Marketing Assistance (if required)

Posting updates on social media platforms.

Helping with simple designs (using Canva).

Assisting in creating promotional materials.

Managing inquiry lists and follow-up data.

9. Customer/Client Service

Offering program information politely and clearly.

Managing follow-up calls for leads and inquiries.

Handling basic concerns and directing complex issues to the right team.

8. Financial Reporting Basics

Preparing simple monthly financial summaries

Understanding profit & loss statements

Reading and updating financial dashboards or spreadsheets

9. Audit Preparation Knowledge

Organizing bills and vouchers

Maintaining clean, traceable records

Providing necessary documents to auditor

10.9. Travel Management Handling

Arrange travel for staff, coaches, or guests (tickets, accommodations, transport).

Prepare detailed travel itineraries and schedules.

Coordinate with travel agencies/vendors for best rates.

Manage travel reimbursements, vouchers, and expense documentation.

Ensure smooth logistical arrangements for outstation events, seminars, or workshops.

Track travel bookings and maintain travel records.

10. Soft Skills Related to Accounts
