An Expense Executive is responsible for monitoring, recording, verifying, and controlling company expenses. They ensure that all costs are valid, properly authorized, and correctly accounted for in the company's financial system.
Key Responsibilities
Expense Management
Collect and verify employees' expense claims (travel, food, accommodation, office expenses, etc.).
Check supporting documents like bills, receipts, and approvals.
Ensure expenses comply with company policies.
Accounts & Payments
Record expenses in accounting/ERP software.
Process vendor and employee reimbursement payments on time.
Track advances given to employees and adjust against claims.
Compliance & Audit
Ensure GST, TDS, and other tax compliance on expenses.
Maintain expense-related documentation for audits.
Support internal and external auditors with reports and evidence.
Reporting & MIS
Prepare periodic expense reports (daily, weekly, monthly).
Analyze spending trends and suggest cost-control measures.
Reconcile expense accounts with bank statements.
Policy & Coordination
Communicate expense policies to employees.
Coordinate with HR, Finance, and Department Heads for approvals.
Highlight irregularities or policy violations.
Record day-to-day expenses in accounting / ERP software (Tally, SAP, Zoho, etc.)
Process vendor invoices and employee reimbursements on time
Maintain proper records for internal and external audits
Prepare daily/weekly/monthly expense MIS reports/ Analytical & reporting ability
Coordinate with HR, Finance, and Department Heads for approvals
Identify irregularities and ensure compliance with company expense policies
Graduate in
Commerce / Finance
(B.Com / M.Com preferred)
1-3 years of experience in accounts/expense management
Good Excel & reporting skills
Timely settlement of expenses & reimbursements
Error-free accounting entries
Compliance with company policy & statutory requirements
Cost-saving recommendations through analysis
Attention to detail & accuracy
Knowledge of
Accounting & Taxation (GST, TDS, etc.)
Good communication & coordination skills
