Job Description

Accurate Data Entry:

Enter daily records and data into the farm's ERP and Manual registers

Update and Maintain Records:

Regularly update existing records for poultry, inventory, sales, purchases, feed usage, and other farm-related activities.

Monitor Data Accuracy:

Ensure that all data entered is accurate, consistent, and up to date by cross-checking the records and verifying entries.

2. Inventory and Stock Management



Track Inventory:

Maintain accurate records of feed, medicine, equipment, and other supplies used on the farm, including dates of purchase, expiry date quantities, and consumption etc.

Inventory Reconciliation:

Perform Every Monday checks on inventory levels and compare physical stock with recorded data to identify discrepancies and report to accounts manager or any other officer assigned to you as reporting officer.

Supply Orders:

Assist in generating reports for ordering supplies based on inventory data, ensuring the farm has adequate stock of necessary materials.

3. Production Data Management



Record Production Data:

Log daily production data, including the number of eggs collected, feed ,medicine , vaccine, and other relevant production metrics.

Track Growth and Performance:

Update data on the growth and health of the poultry, including feed efficiency, mortality rates, and other key performance indicators (KPIs).

Monitor Feeding Schedules:

Maintain records on feed distribution, the quantity used, and any changes in feeding schedules.

4. Financial Record Keeping :



Sales and Purchase Records:

Enter sales transactions (e.g., egg sales, chicken sales) and purchase records (e.g., feed, vaccines, equipment etc ) into the accounting system.

Assist with Billing:

Support the billing process by entering sales data for invoicing and tracking payments from customers.

Expense Tracking:

Record farm-related expenses, such as utility bills, labor costs, and purchases, to assist with financial recordkeeping.

5. Employee Attendance and Payroll:



Track Employee Attendance:

Maintain daily attendance records for farm workers, noting absences and other attendance-related information and submit scan documents of attendance register every working day at 10 am and 2 pm.

Assist in Payroll Data:

Provide attendance data and other relevant information to the payroll department for calculating wages and salaries on 1 st of every month.

6. Health and Veterinary Data



Track Veterinary Records:

Maintain health and vaccination records for the poultry, including treatments administered, vaccination schedules, and any health issues.

Monitor Mortality and Disease:

Log data related to the health of the livestock, including monitoring mortality rates, disease outbreaks, and any preventive measures taken.

7. Reporting and Documentation



Generate Reports:

Create regular reports on farm production, inventory levels, and other data as required by management.

Compile Data for Analysis:

Assist in compiling data to help with performance analysis, business forecasting, and decision-making.

File and Organize Documents:

Maintain organized electronic or physical files for all farm records, making it easy to retrieve data when necessary.

8. Support Operational Teams



Assist with Farm Operations:

Provide data support to various departments, including production, finance, and inventory management, ensuring they have up-to-date information for their tasks.

Coordinate with Supervisors:

Work with farm staffs and managers to ensure that all required data is entered and updated accurately.

9. Compliance and Record Integrity



Ensure Compliance:

Ensure that all data is entered in accordance with farm policies and safety standards.

Data Integrity:

Maintain the confidentiality of sensitive information and follow protocols to protect the integrity of the farm's data.

10. Database Management and Software Use



Operate Software and Tools:

Use farm management ERP software, spreadsheets (e.g., Excel), or other tools for data entry, record-keeping, and report generation.

Troubleshoot Data Issues:

Identify and resolve any discrepancies or errors in data, ensuring all information is up-to-date and correctly recorded.

Backup Data:

Ensure that all data entered into the system is backed up regularly to prevent data loss.
