Job Description

SALES:

1.Check outward register and receive sales invoices

2. Filing of sales invoice along with POD.

INVOICE UPLOADING ON VENDOR PORTAL

: 1.Converting sales invoices to PDF and digitally signing all those invoices

2. Uploading those invoices to vendor portal after digital signature

MAILS TO ALL CLIENT FOR PAYMENT:

1.Preparing customer's outstanding Ledger or emailing to clients

2. Providing information to clients about their accounts outstanding so that they can make prompt payment of those bills.

3. After sending outstanding ledger to client if any invoice copy or document is required to be provided to them so they maintain their record and make a payment asap.

VERIFY CLIENT CREDIT / DEBIT NOTE:

1. After receiving the debit note from the client get it verified from the concern department whether they have any information about Rejection/ Rate Difference.

2. Mail the credit note after approval.

FREIGHT PAYMENT PROCESSING

1. Collect transporter register from gate for receiving LR & related documents.

2. Before Processing LR, the vehicle owner's PAN card is verified on the TRACES site whether the PAN card is active and operative or not.

3. If pan card is inoperative, inform the vehicle owner to get it link their Pan Card with Aadhar Card.

4. To check other documents of the vehicle owner such RC, Bank Details- along with IFSC

5. To check other documents of the vehicle owner such as whether the name RC and the name on the bank account are the same or not. Whether the account number and IFSC are visible correctly or not.

6. After checking the documents, check Fare Charges Calculation, Rate with Approved Rate List.

7. After checking all this, prepare Freight Payment Detail in Excel.

8. Book in SAP single leger and create PO of Union LR.

9. After getting payment done, book in to the SAP and file it in to Bank Payment file.

10. Mail freight payment details to their transport union.
