Description
We are seeking a highly organized and experienced Executive Assistant to provide comprehensive support to our Senior Managers. This role requires a unique blend of administrative expertise and specific knowledge in vendor management and contract processing.
Key job responsibilities
Key Responsibilities:
1. Executive Support:
1. Provide high-level administrative support to Senior Managers
2. Manage complex calendars and schedule meetings
3. Manage team procurements and prepare reports
4. Handle confidential information with utmost discretion
5. Seat allocations and Meeting invites, Conference Room Booking and supervising Hi-Tea arrangements.
2. Vendor Management:
1. Assist in vendor onboarding processes
2. Coordinate with legal and finance teams for vendor-related matters
3. Track and manage vendor relationships
3. Contract and Document Management:
1. Understand and assist with MSAs (Master Service Agreements), Work Orders, and NDAs
2. Ensure proper execution and filing of legal documents
3. Maintain organized records of all contracts and agreements
4. Financial Processes:
1. Raise and track Purchase Orders to closure
2. Understand basic financial aspects related to vendor management
3. Assist in budget tracking and financial reporting as needed
5. Administrative Duties:
1. Track and manage official tasks
2. Prepare and distribute meeting agendas and minutes
3. Manage office supplies and equipment
Basic Qualifications
- 2+ years of sales or account management experience
- 2+ years of digital advertising and client facing roles experience
- Experience with Excel
- Experience analyzing data and best practices to assess performance drivers
Preferred Qualifications
- Experience analyzing key open issues and resolution metrics for each of the managed accounts
- Experience in relationship management within technology, start-ups, or SaaS Platforms
- Bachelor's degree, or experience working in a high-tech environment
- Bachelor's degree in accounting or related field, or a MBA and experience applying key financial performance indicators (KPIs) to analyses
- Knowledge of project management tools
- Experience working within a global company, with multi-country responsibilities
