Job Summary:
The Assistant Public Officer (APO) in the Registrar's Office plays a crucial role in supporting the office's mission of managing student records, registrations, and academic documentation. The APO assists in ensuring accurate and efficient handling of public inquiries, maintaining official records, and facilitating smooth communication between the Registrar's Office and students, staff, and external stakeholders.
Key Responsibilities:
Serve as a frontline point of contact for students, faculty, and external parties seeking information or assistance related to academic records, registrations, and certification.
Assist in processing student registration, enrollment verification, transcript requests, and graduation applications.
Maintain and update student academic records with accuracy and confidentiality.
Support the preparation and distribution of official documents such as transcripts, certificates, and enrollment verifications.
Handle public inquiries via phone, email, and in-person with professionalism and courtesy.
Collaborate with other departments to ensure timely and accurate dissemination of academic information.
Assist in organizing and archiving academic records in compliance with institutional policies and legal requirements.
Support the Registrar's Office during busy periods, including registration periods and graduation.
Perform general clerical and administrative duties such as filing, data entry, and managing correspondence.
Adhere to data protection policies and maintain confidentiality of sensitive student information.
Qualifications:
Diploma or Bachelor's degree in Public Administration, Education, Business, or related field preferred.
Prior experience in a registrar's office, academic administration, or public service role is an advantage.
Strong communication and interpersonal skills.
Good organizational skills with attention to detail.
Ability to handle multiple tasks and work under pressure.
Proficiency in office software (Microsoft Office Suite) and experience with student information systems preferred.
