Academic Operations Executive (LMS & Program Management)

Job Purpose:
To ensure smooth and disciplined execution of academic programs by managing attendance, LMS operations, video uploads, trainer schedules, batch planning, student induction, academic controls, feedback collection, payment coordination, examinations, and certification processes--while maintaining a positive student experience and strong operational control.
Key Responsibilities:
1.Attendance, Access & Discipline Control
Record and maintain daily student attendance (online & offline).
Ensure students carry and use ID cards within academic premises.
Support classroom discipline and access control.
Track attendance batch-wise and trainer-wise and share reports.
2.LMS Management
Manage end-to-end LMS operations.
Upload course materials, recorded sessions, assignments, and resources.
Create and manage batches, courses, and student access rights.
Ensure LMS content is structured, updated, and accessible.
3.Video Upload & Content Coordination
Upload recorded class videos to LMS or internal platforms.
Coordinate with trainers and video editors for timely uploads.
Ensure correct mapping of videos to batches and modules.
4.Trainer Calendar & Scheduling
Prepare and manage trainer schedules and calendars.
Coordinate session planning, availability, and rescheduling.
Inform trainers in advance about batch schedules and changes.
5.Batch Planning & Academic Scheduling
Plan batch start dates, session timelines, and course flow.
Manage batch transitions, extensions, and timetable adjustments.
Avoid schedule clashes and ensure smooth academic delivery.
6.Student Induction & Joining Kit Management
Conduct or coordinate student induction and orientation sessions.
Issue joining kits (ID cards, study material, LMS access, credentials).
Ensure students understand academic flow, LMS usage, and policies.
7.Student Feedback & Review Collection
Collect regular feedback on trainers and sessions.
Coordinate written or video reviews/testimonials.
Share insights with academic and management teams.
8.Examination & Assessment Management
Create and manage examination and assessment calendars.
Coordinate internal tests, assessments, and evaluations.
Communicate exam instructions clearly to students and trainers.
