To ensure smooth academic operations, effective scheduling, and coordination between faculty, students, and management. The Academic Administrator plays a key role in maintaining academic discipline, monitoring performance, and implementing academic policies to ensure optimal learning outcomes for JEE/NEET aspirants.
Key Responsibilities:
1. Academic Planning & Scheduling
Prepare and maintain academic calendars, timetables, and faculty schedules.
Coordinate batch formation, class rescheduling, and substitution management.
Plan and monitor test schedules, syllabus completion targets, and revision plans.
Align classroom delivery with institute's academic roadmap and curriculum standards.
2. Faculty Coordination
Liaise with faculty for timely syllabus coverage and feedback.
Ensure availability of teaching aids, test papers, and classroom materials.
Collect and track faculty performance feedback from students and report to management.
3. Student Management
Maintain student attendance, test performance, and progress records.
Communicate regularly with parents on student performance, attendance, and behavior.
Address student academic concerns and escalate as needed.
Support implementation of mentorship, doubt-solving, and remedial programs.
4. Examination & Evaluation
Coordinate test/exam paper setting, printing, and distribution.
Oversee exam invigilation, answer sheet collection, and result tabulation.
Generate academic performance reports and analytics for management review.
5. Data & Reporting
Maintain accurate and updated data on student batches, test results, and attendance.
Prepare weekly/monthly academic MIS reports for management.
Use software or Google Sheets-based systems to track and update academic progress.
6. Academic Quality & Compliance
Ensure adherence to institute's academic policies and code of conduct.
Monitor class delivery quality and collect student feedback.
Support implementation of new academic initiatives and process improvements.
Qualifications & Skills:
Graduate / Postgraduate (Science background preferred - Physics, Chemistry, Biology and Mathematics).
Minimum 2-3 years' experience in academic coordination or administration (preferably in coaching industry).
Strong organizational and communication skills.
Proficient in MS Office / Google Workspace (Sheets, Docs, Calendar).
Ability to multitask and work under pressure.
Good interpersonal skills to manage faculty, students, and parents effectively.
