About the Role:
We are looking for a highly organized, tech-savvy, and proactive Executive Assistant to support our leadership and operations. The ideal candidate must have extensive experience in calendar and email management, be proficient with Google Workspace tools, and possess strong communication and client-handling skills--especially with international clients.
Key Responsibilities:
1. Calendar Management: Efficiently schedule meetings, appointments, and reminders; coordinate across time zones.
2. Email Management: Handle a high volume of emails, prioritize and respond professionally on behalf of executives.
3. Google Workspace Expertise: Create, organize, and manage Google Drive folders, Google Sheets, and Google Docs with a high level of proficiency.
4. Client Communication & Onboarding: Professionally handle client interactions, onboarding processes, and follow-ups with a high level of responsiveness and clarity.
5. Documentation & Reporting: Prepare and maintain internal and client-facing documents with accuracy and confidentiality.
6. Time & Task Management: Ensure efficient task prioritization and seamless daily operations by managing multiple ongoing assignments.
7. Follow-Through: Track open action items and ensure timely completion with proper communication and escalation where necessary.
8. Virtual Assistant Support (Preferred): Experience working with international clients in a virtual assistant or executive support role is highly desirable.
Required Skills & Qualifications:
1. Minimum 4 years of experience as an Executive Assistant, Virtual Assistant, or in a similar administrative role.
2. Proficiency in Google Drive, Google Sheets, Google Docs, and general cloud file management.
3. Strong experience in email handling and calendar coordination for executives or teams.
4. Excellent written and verbal English communication skills.
5. Prior experience with client communication, onboarding, and relationship management.
6. Exceptional time management, organizational, and follow-up skills.
7. Ability to work independently and maintain confidentiality.
8. Prior experience working with international clients will be considered a strong advantage.
